Privacy Policy

Last updated: November 6, 2026

The short version: we collect what we need to turn your recordings, PDFs and text into notes, and to run your account and subscription. We send your content to AI providers only to process it. We don't sell your data, we don't show ads, and we don't use analytics or tracking tools. You can delete your account and everything in it from the app at any time.

1. Who we are

Qikinote (“Qikinote”, “we”, “us”) is a study app that turns lectures, audio recordings, PDFs and text into notes, transcripts, flashcards and quizzes. It is operated by Gaurav Tiwari, based in Delhi, India. For anything about this policy or your data, write to support@qikinote.app.

This policy covers the Qikinote apps for iPhone and Android and the website at qikinote.app.

2. Data we collect

Account data

  • Your email address and name, received from Sign in with Apple or Google when you sign in.
  • Your profile photo link, if your Google account provides one.
  • If you use Sign in with Apple, an Apple sign-in token. We keep it only so we can disconnect Qikinote from your Apple ID when you delete your account.
  • If you use Apple's “Hide My Email”, we only receive the relay address Apple gives us.

Onboarding answers and settings

  • The answers you give when you first sign in: how you heard about Qikinote, why you use it, which best describes you (for example student or teacher), your age range, what you find hardest about studying, how you like to study and how much time you study each day.
  • Your chosen app language.

Your content

  • Audio you record or upload, PDFs you upload and text you paste.
  • What Qikinote creates from it: notes, summaries, transcripts, translations, flashcards and quizzes.
  • Your Ask Qiki chat messages and the answers.
  • Folders, titles and how your notes are organised.

Subscription data

  • Whether you have Qikinote Pro and when it expires. Payments are handled by Apple or Google: we never see your card or payment details. Our subscription provider RevenueCat receives your purchase history and an anonymous app user ID.

Technical data

  • Your IP address, used briefly to protect the service from abuse (rate limiting), and standard server logs (time, request and error details) used to keep the service running and fix problems.

What we don't collect

We don't use advertising, analytics or tracking tools, we don't track you across other apps or websites, and we don't collect your location or contacts.

3. Device permissions

  • Microphone: only while you record a lecture or note. You can turn it off in your phone settings.
  • Files: only the audio or PDF files you pick yourself to upload.

4. How we use your data

  • To create and show your notes, transcripts, translations, flashcards, quizzes and Ask Qiki answers.
  • To run your account, sign you in and keep you signed in.
  • To check your subscription and unlock Pro features.
  • To personalise the app, such as its language, and to understand who uses Qikinote and why (onboarding answers).
  • To answer your support requests.
  • To keep the service secure, prevent abuse and fix errors.
  • To meet legal obligations.

We use your data because you agreed to it when you signed up, because we need it to provide the service you asked for, or because we have a legitimate interest in keeping Qikinote secure and working. You can withdraw your consent at any time by deleting your account.

5. AI processing

Qikinote uses AI to turn your content into notes. To do that, your content is sent to these AI providers through their business APIs:

  • OpenAI: transcribes audio, writes notes and summaries, translates, makes flashcards and quizzes, and answers Ask Qiki questions.
  • Anthropic: reads uploaded PDFs.

Under their API terms, these providers don't use your content to train their models. They may keep it for a limited time (typically up to 30 days) to watch for abuse, and then delete it. We don't use your content to train AI models either.

AI-generated notes and answers can contain mistakes. Please check anything important against the original.

6. Who we share data with

We don't sell or rent your personal data, and we don't share it for advertising. We share it only with the service providers that run Qikinote for us. They may use it only to provide their service to us:

Provider What it does for us Data involved
Supabase Database and sign-in Account data, onboarding answers, notes and other generated content
Cloudflare (R2) File storage and website hosting Audio and PDF files you upload or record
OpenAI AI processing Audio, text and note content, Ask Qiki messages
Anthropic AI processing PDF content
Inngest Running background jobs (creating notes) Job details such as note and user IDs
Upstash Abuse protection (rate limiting) IP address and user ID, kept for minutes
RevenueCat Subscription management Anonymous app user ID and purchase history
Apple and Google Sign-in and in-app payments Sign-in and purchase data, under their own privacy policies
Railway Running our API and worker servers All data passing through our servers

We may also disclose data if the law requires it, to protect the rights and safety of our users or others, or as part of a merger or sale of the business. If that happens, this policy keeps applying to your data.

7. Where your data is stored

Our providers store and process data in data centres outside India, including in the United States and Singapore (where our database is hosted). By using Qikinote, you understand that your data may be moved to and processed in these countries. We only use providers that protect data with appropriate safeguards.

8. How long we keep data

  • Your account and content are kept until you delete them or delete your account.
  • When you delete a note, its files and generated content are deleted with it.
  • Notes that fail to process are deleted automatically within about a day.
  • Rate-limiting records (IP addresses) expire within minutes.
  • Server logs are kept for a limited time, then deleted.
  • Copies in our providers' backups are removed as those backups expire, normally within 30 days.

9. Deleting your account

You can delete your account and all its data at any time:

  • In the app: open Profile, then tap Delete account and confirm.
  • Without the app: email support@qikinote.app from the address you signed in with, and we'll delete your account within 30 days.

Deleting your account permanently removes your profile, onboarding answers, notes, files, transcripts, flashcards, quizzes and chats. It also removes your RevenueCat customer record and, if you used Sign in with Apple, disconnects Qikinote from your Apple ID. This can't be undone.

Delete only some data

You don't have to delete your account to remove data:

  • A note: delete it in the app. Its audio or PDF file, transcript, flashcards, quiz and chat are deleted with it.
  • Ask Qiki chats: clear a note's chat history from the chat screen.
  • Anything else, such as your onboarding answers: email support@qikinote.app and tell us what to delete. We'll do it within 30 days.

Deleting your account does not cancel a subscription. Cancel it first in your App Store or Google Play settings. Apple and Google keep their own purchase records under their own policies.

10. Your rights

Depending on where you live, including under India's Digital Personal Data Protection Act, 2023 and the EU and UK GDPR, you have the right to:

  • access the personal data we hold about you and get a copy of it,
  • correct data that is wrong or incomplete,
  • delete your data,
  • withdraw consent or object to how we use your data,
  • name someone to exercise your rights if you die or can't act yourself (India), and
  • complain to your local data protection authority.

To use any of these rights, or to raise a complaint (grievance) about how we handle your data, email support@qikinote.app. We'll reply within 30 days. We may ask you to confirm your identity first. If you're in California, note that we don't sell or share personal data for targeted advertising.

11. Children

Qikinote is for students of all levels, but you must be at least 13 to use it. If you are under 18 (or under the age of majority where you live), you may use Qikinote only with the consent and supervision of a parent or guardian. We don't knowingly collect data from children below the minimum age. If you believe a child has given us their data, contact us and we'll delete it.

12. Security

We protect your data with encryption in transit (HTTPS), access controls that keep each user's data separate, and secure storage of sign-in details on your device. No system is perfectly secure, but if a data breach affects you, we'll tell you and the authorities as the law requires.

13. Changes to this policy

We'll update this policy when Qikinote changes, for example when we add a new service provider. The date at the top shows the latest version. If a change is significant, we'll tell you in the app or by email before it takes effect.
